About the role:

We are looking for an experienced and dedicated Executive Assistant to join our team. This position involves efficiently managing and organizing executives' calendars, scheduling meetings, appointments, and ensuring timely reminders. You’ll act as a primary point of contact, screening and managing emails, calls, and inquiries, while arranging and coordinating travel itineraries, accommodations, and transportation, ensuring smooth and hassle-free trips.

We need someone detail-oriented, tech-savvy, and proactive. Your experience in troubleshooting digital tools and event coordination makes you an ideal fit. Besides that, we need someone dedicated and reliable, as you’d also be overseeing vacation rental administration, like for example putting my Airbnb house on VRBO. This is an exciting remote position, on an hourly basis (with the engagement of up to 10-20 hours per week).

Responsibilities (but are not limited to):

  • Manage and organize executives' calendars efficiently.
  • Act as a primary point of contact, screening and managing communications.
  • Coordinate travel itineraries, accommodations, and transportation.
  • Prepare and proofread various documents, presentations, and reports.
  • Handle expense reporting and maintain accurate financial records.
  • Plan, coordinate, and execute events, ensuring smooth logistics.

Requirements

  • Proven experience as an Executive Assistant or in a similar role.
  • Strong organizational and multitasking skills.
  • Experience in managing executives’ calendars and itineraries.
  • Excellent communication and interpersonal abilities.
  • Proficiency in digital tools and office software.
  • Ability to maintain confidentiality and handle sensitive information.
  • Adaptability and a proactive approach to problem-solving.
